2. Internship Duties and Responsibilities báo cáo thực tập ngôn ngữ Anh
2.1. Translating Press Release and PR relevant documents into English and vice versa
Porsche Press Release, an official statement issued by Porsche giving information to public on a particular matter, has a minimum quantity of four for monthly publishing. Porsche AG publishes English version of press release on a company general system on http://presse.porsche.de. The permission for editing and publishing press releases is only granted to the person who is authorized as Editor. Press release translation requires two factors: Content and Format, guaranteeing homogeneity and alignment in any details.
For content, all grammatical and punctuation errors, for example: misspellings or typos, double space, double punctuation marks, misspelled proper nouns, etc., must be eliminated before publishing. Furthermore, translation must represent company image, which is to emphasize a strong, positive voice. In order to ensure a consistent translation, glossaries and instruction are given. For format, any of both versions of language must achieve an aligned format, which requires correct header and footer information, publishing date, the representation of content, “About Prestige Sports Cars Co., LTD” information.
The process of publishing press information includes six steps, including: receiving translation notification from Porsche Asian Pacific (PAP), creating translation, uploading on company system, sending Test Press release, PAP PR Assistant’s Approval, and publishing.

When Porsche AG publishes a new press release, a translation notification sent by PAP to local Public Relation (PR) Executive staffs in specific countries. In Vietnam, two versions of English and Vietnamese language will be created, including a total of four files (two Word documents and two PDF files for each version of laguange).
After those two versions have been uploaded and attached with its language PDF file, PR staffs will send Test Press Release and make an anouncement to PAP PR Assistant through Outlook emails. As no mistakes can be fixed after the publishing of press release, testing Press Release is a mandatory step before publishing and can only be sent to certain high-authority participants in the company.
PAP PR Assistant will review and recheck for any mistakes or matters that should be appropriately changed in order to adapt local market. After having the press release fixed, it can be officially published on company system as the final step, which will send notifying emails to all registered journalists in Porsche press database and company participants.
Additionally, there is another form of press release, Pulse News. It is press information announcing company’s highlight activities and upcoming events, sent by Porsche PAP to Asian Pacific country’s customers in database. Pulse News is quarterly published in English and thereby will be translated into Vietnamese.
2.2. Support and monitoring monthly and daily clippings – thực tập ngôn ngữ Anh
Monthly clippings: An Excel file listing hyperlinks of article contains Porsche-relevant information or products in a month, which indicates share of voice of Porsche compared to other automotive brands in the same segment. To process monthly clippings, there are three steps required: searching, comparing, and updating. To search clippings, search “Porsche” on Google in the range of previous month and within Vietnam country only. Next, search for “Porsche” in every article found. It is counted only if the word “Porsche” appears in the article.
The search step is repeated with the title of all articles which are published by Porsche Vietnam in the month. Each hyperlink found will be listed in an Excel file in order for later comparison with the clippings updated by agency. Comparing is to eliminate duplicated links and to fulfill the links missed due to changing equations. Finally, hyperlinks are categorized by name of car models, for example: “911GT3RS, Ca(3), Ma(5)” or as “GI” in case the article contains general information.
Daily clippings: A number of copies of daily newspapers and periodicals are sent to Porsche. Therefore, daily clippings task is to check for articles about Porsche and make a note of specific pages. 1 or 2 copies of the newspaper and periodicals will be stored in order to check for booking payment and monthly clippings checking. The rest of newspaper and magazine will be selectively distributed in the building.
2.3. Designing Tasks
Beside main tasks at Porsche Vietnam, there are other projects require designing skills, including: Journalist Day Greeting card, Print ads, Typography artwork, Porsche Cubes, Meeting room pictures, Birthday card. All designs must be in accordance with Porsche CI, Corporate Identity.
2.4. Journalist Day Project
Journalist Day Project is for an anniversary of Vietnam’s Revolutionary Journalism Day, which is annually celebrated on June 21st. Porsche Vietnam sends presents and greeting cards to a number of high-contribution journalists and key people registered in Porsche press database in order to express a sincere thanks for the journalists’ contributions to Porsche’s success in Vietnam.
All presents and greeting cards are required to be delivered and received by the date of June 21st; therefore, this preparation process includes multiple steps: design greeting cards, contact print express or workshop, and express delivery service for price list, sort journalists and key people, make stock issue of presents, wrap presents and greeting cards, send and track deliveries, make payment for print and express agencies.
2.5. Assist in administrative duties
Besides normal administrative duties, for example: scanning and sending documents, arranging newspaper and periodicals, there are other tasks as contacting modeling agencies and CEO Photoshoot set-up.
3. Knowledge and Skills Applied during the Internship
During the internship at Porsche, my knowledge and skills obtained at class are very beneficial. I was given an opportunity to improve especially translating skills, designing skills, and Microsoft Office programs using skills, mainly Word and Excel. Additionally, Marketing theories at class also assisted monitoring the tasks.
4. Knowledge and Skills Learned from the Internship
Throughout the course of my internship at Porsche, I was given a realistic picture of a profession workplace and expectations that come with it. Accordingly, I was able to see first-hand what it takes for a foreign automotive importer to operate in Vietnam while also supporting a professional marketing team. Fortunately, as every member in the Marketing Department is highly knowledgeable about automotive industry and willing to share, I have gained better understanding and insights of the business with their supports. Through the internship, I have also learnt to work with meticulousness, and precision as they perform professionalism; to devote myself to the bigger picture; and like what Porsche has always said “to redefine the limits”.
5. Shortfalls in Knowledge and Skills
Due to the fact that car-relating translation was not included in curriculum, some technical terms have been a major issue in most of my translations. To translate a press release, I must read relevant articles published by other authors to find proper words in case the words are not included in the glossary. Each translation of the press release must be reviewed and fixed by the PR Senior before publishing, which consumes more time due to the fact that my translations were not sufficiently efficient. However, I believe, with further practice honing translating skills, I can achieve better improvement.
Another shortfalls in skills is organization. To follow and boost a project timely, I must have better time organization as it helps in creating more time to react appropriately to unexpected events. Therefore, the lesson I have learnt is that thinking for the best solutions before working rather than dealing with unexpected consequences.
The journey at Porsche has been my greatest step so far. A journey that inspires, redefines and challenges. It inspires me to constantly improve my capabilities, redefines my limits, and challenges myself for bigger achievements. I would like to say the most sincere thanks to PR Senior, Ms. Luu Thuy Trang, as my instructor at Porsche. She is the one who has always supported, and given constructive guidance. Thanks to everyone at Porsche, this journey has also become joyful, and memorable.
